REPORTING TO: Reinstatement Manager

RESPONSIBLE FOR: None

MAIN PURPOSE/OBJECTIVES OF ROLE:

To coordinate the planning, scheduling, and administration of reinstatement works, ensuring all jobs are completed safely, efficiently, on time, and in accordance with client requirements, NRSWA legislation, and company procedures. The Reinstatement Coordinator acts as the key link between operational teams, clients, supervisors, and internal departments to ensure the smooth delivery of reinstatement activities.

KEY DUTIES/RESPONSIBILITIES:

Planning & Coordination

• Plan and schedule daily reinstatement works to maximise productivity and resource utilisation.

• Allocate work to reinstatement teams, subcontractors, vehicles, and plant.

• Monitor work progress and adjust schedules to meet customer and contractual requirements.

• Coordinate emergency and reactive works as required.

• Ensure all works are completed within agreed service level.

Administration

• Maintain accurate records of all reinstatement works using company and client management systems (e.g. SWIMS, Works Management Systems).

• Process job completions, updates, defects, and closure information.

• Raise purchase orders and coordinate material requirements where necessary.

• Maintain records of permits, inspections, photographs, and compliance documentation.

• Produce daily, weekly, and monthly operational reports and KPIs.

Client & Stakeholder Liaison

• Act as the primary point of contact for clients, local authorities, supervisors, and operational teams.

• Provide timely updates on work progress, delays, and outstanding actions.

• Respond to customer enquiries and resolve scheduling issues professionally.

• Coordinate with permit teams and traffic management providers where required.

Performance & Compliance

• Monitor operational performance against contractual KPIs and deadlines.

• Support the management of defects and ensure corrective actions are completed within agreed timescales.

• Ensure work information is accurate and compliant with client requirements.

• Assist with audits and compliance reporting.

Team Support

• Provide administrative and operational support to the Reinstatement Manager and Supervisors.

• Assist with workforce planning and holiday cover.

• Help identify opportunities to improve operational efficiency and customer service.

• Support the implementation of new processes and continuous improvement initiatives.

General

• Maintain safe working practices whilst undertaking your duties at all times

• To act in accordance with the company’s Health, Safety and Environmental policies, procedures and practices highlighting any issues appropriately

• Work flexibly and be receptive and adaptable to a changing environment within a fast-expanding Company

• Undertake any other reasonable tasks as directed by management

THE IDEAL CANDIDATE:

• Previous experience in a coordination, scheduling, or planning role within utilities, highways, construction, or civil engineering.

• Good understanding of reinstatement operations and NRSWA requirements.

• Excellent organisational and time management skills.

• Strong communication and customer service skills.

• Experience using scheduling or work management systems (e.g. SWIMS).

• Good IT skills, including Microsoft Office (Word, Excel, Outlook).

• Ability to work under pressure and manage multiple priorities.
